Travel Instructions

***If you are planning to claim travel expenses, please fill out the Volunteer Budget Form and upload it to the registration form link below.

  • We will contact you with additional information or requirements if needed after you register. We might ask you for a police check, trip budget, and to sign our waiver of liability forms.

*** Please always read Canada’s travel advisories when travelling to your project.

Before You Go #

  • Review current Government of Canada travel advisories for your destination.
  • Make sure you have adequate travel insurance.
  • Confirm arrangements directly with your grantee contact.
  • Keep emergency and contact information accessible.

While You’re There #

Use your visit to:

  • Strengthen collaboration with the grantee team
  • Review activities, finances, and progress
  • Gather updates and photos (with consent) for future reports
  • Complete the Field Evaluation Form if the trip involves project oversight

When You Return #

Please submit:

  • Photos and notes for quarterly or annual reports
  • The completed Field Evaluation Form (if applicable)
  • Any updated budget or planning details
  • General reflections or recommendations from your visit

Remember: travel for oversight and evaluation is a valuable part of ensuring transparency and accountability — and completing the evaluation form is what confirms that the trip qualifies as a charitable activity under Devxchange’s granting program.

Only trips that include a completed and approved Field Evaluation Form qualify for tax-receiptable travel expenses.
This form confirms that the travel had a charitable purpose and oversight value under Devxchange’s granting program.
