Project Closure Policies

Project completion or termination may be considered when one or more of the following situations occur:

  • A Project Lead Volunteer has discontinued oversight, communication, fundraising, or volunteer support efforts over a 12-month period.
  • A Project Lead Volunteer provides written notice requesting completion or closure of the project.
  • The Executive Director provides written notice of project termination or suspension.
  • Failure to comply with Devxchange policies, procedures, reporting requirements, grant agreement requirements, or oversight standards.
  • No new funds have been added to the project fund account within the past 12 months and approved income projections have not been reasonably pursued or achieved.
  • Required reports, financial records, or planning updates are more than 6 months overdue and repeated follow-up requests have not been acted upon.
  • A grantee relationship under the Devxchange Grant Agreement model is terminated, dissolved, or no longer aligns with Devxchange charitable purposes or oversight requirements.

If a project is approved for closure, the Executive Director, in consultation with the Board of Directors, will determine how any remaining project balance will be reallocated in accordance with Devxchange charitable purposes and CRA requirements.

If the Project Lead Volunteer does not respond within 3 months regarding project closure matters, Devxchange may, at its discretion and in consultation with the Board, transfer any remaining balance to a similar approved initiative or to administration and formally close the project account.

Project Lead Volunteers are required to complete an End of Project Report prior to closure.

Under the Devxchange Grant Agreement model, all projects, activities, fundraising, and charitable work carried out through Devxchange remain under the direction, oversight, and responsibility of Devxchange International.

The CRA does not permit individuals or groups to operate as a Devxchange project while simultaneously pursuing charitable incorporation or registration for substantially the same activities, operations, or identity.

Project Lead Volunteers agree to notify the Executive Director in writing prior to any attempt to establish a separate legal entity, charitable organization, or incorporated structure connected to an active Devxchange project or grantee relationship.

Project Lead Volunteers acknowledge that they act as volunteers supporting Devxchange charitable activities and do not independently own or operate projects administered through Devxchange.

Devxchange does not authorize the continued use of active Devxchange project names, branding, donor materials, fundraising history, or organizational identity by current or former volunteers, grantees, or associated individuals without written authorization from Devxchange.

All charitable activities, reports, materials, communications, fundraising efforts, and project history developed while operating under Devxchange oversight remain part of Devxchange organizational records and charitable operations.

For a period of no less than 30 days following project closure, former volunteers or associated individuals may not publicly represent themselves as operating an active Devxchange initiative unless written authorization has been provided by Devxchange International.
